Secret Santa Rules, Etiquette and Message Templates

Updated October 31, 2026 6 min read

In Secret Santa, each person draws one name, buys one gift within an agreed budget, and keeps the giver a secret until the exchange. Here are the rules, the etiquette, and messages you can copy and send.

The basic rules of Secret Santa

  • Everyone in the group draws one name at random. Nobody draws themselves.
  • You keep your person's name to yourself.
  • You buy one gift for that person, within the agreed budget.
  • Gifts are exchanged on an agreed date, and each one is labeled with the recipient's name.
  • The giver either stays anonymous or is revealed at the end, as your group prefers.

That's all you really need. The rest is about making sure things go smoothly, and most problems come from details nobody agreed at the start: the budget, the date, or who's actually taking part.

How to organize a Secret Santa in 6 steps

  • Ask who wants in. Make it optional, especially at work. Not everyone celebrates Christmas or wants to spend money.
  • Set the budget and the date. One clear number and one clear day. Put both in the invitation.
  • Collect clues. Send round a Secret Santa questionnaire, or ask people to share a quick wishlist.
  • Draw names. Use the Secret Santa generator so nobody draws themselves. Keep couples or housemates apart with an exclusion rule.
  • Send a reminder. About a week before the date, remind everyone of the budget and the deadline.
  • Do the exchange. Hand out gifts one at a time, or leave them under the tree. Have a spare gift ready in case somebody forgets.

Secret Santa etiquette

Stick to the budget

This is the golden rule. Going well over can make other people feel awkward, and going far under can look careless. Aim for close to the agreed number. If you'd like to give more, add something thoughtful that costs nothing, like a handwritten note.

Keep it appropriate

At work, a gift should be fine to open in front of your manager. Skip anything suggestive, anything that comments on someone's body, and jokes that could embarrass them. If you don't know whether someone drinks, avoid alcohol, and avoid food if you don't know about allergies.

Keep the secret

Don't tell anyone who you drew, and don't look at anyone else's. If you need information, ask a friend of theirs in a way that won't give you away. And don't announce it on the day unless your group reveals at the end.

Show up with a gift

If you joined, you're committed. Somebody is counting on you. If something comes up, tell the organizer early, so that they can make a plan.

How much should you spend?

It's up to your group. A workplace usually keeps it modest, so everyone can take part comfortably, and families and close friends tend to go higher. If you can't decide, ask people privately what suits them and choose an amount that works for the person with the least to spare. You can see ideas at each level in our Secret Santa gift ideas by budget.

Common problems, and how to handle them

  • Someone drops out after the draw. Redraw if it's early. If gifts have been bought, ask the person buying for them to take over their match, so that there's still a neat chain.
  • Someone forgets a gift. The organizer brings a spare, or the person brings it the next day. Handle it privately and don't make a fuss.
  • Two people draw each other. This is normal and allowed in most draws. If it bothers you, redraw.
  • Someone doesn't want to join. Let them skip it without any questions. Forcing it, particularly at work, sours things for everyone.
  • You have no idea what to get. Check if they've shared a wishlist or filled in a questionnaire. Otherwise, go with quality snacks, a good mug or a coffee gift card.

Secret Santa by other names

Depending on where you are, you might hear it called Kris Kringle, Pollyanna or Wichteln. The idea is the same: draw a name and give one gift. If your group would rather have a party game, take a look at other gift exchange games, like White Elephant, where people steal each other's gifts.

Ready to draw names?

Our free generator draws names online, keeps couples apart and sends everyone a private link. Nobody has to sign up.
